Privacy Policy
How we collect, use and protect the personal information you share with us.
1. Who we are
This website is operated by Arowana Secretarial Services CC ("Arowana", "we", "us"), a close corporation registered in Namibia, with offices on Dr Kuaima Riruako Street, Windhoek. We are responsible for the personal information described in this policy.
If you have any questions about this policy or your information, email info@arowanass.com.na or call +264 81 891 1333.
2. Information we collect
Information you give us
When you send an enquiry through our contact form we receive:
- your name, email address and message (required);
- your organisation and phone number (optional);
- the date and time of the submission and the IP address it was sent from, which we use to identify and block spam.
We also receive whatever personal information you choose to include when you email or phone us.
Information collected automatically
Like most websites, our hosting provider keeps standard server logs, which record your IP address, browser type, the pages you visit and the time of your visit. These logs are used to keep the website secure and working properly.
3. How we use your information
- To reply to your enquiry and prepare a proposal you have asked for.
- To provide our services if you become a client, and to manage that relationship.
- To protect the website and our enquiry form from spam, abuse and security threats.
- To meet our legal, regulatory and record-keeping obligations.
We do not sell your personal information, and we do not use it for marketing unless you have asked us to.
4. Who we share it with
We share personal information only where needed to run our business, with:
- our website hosting and email service providers, who store and deliver messages on our behalf;
- professional advisers such as auditors or lawyers, under a duty of confidentiality;
- authorities or other parties where the law requires it.
Information we handle while carrying out work for clients, such as board papers and minutes, is kept strictly confidential and is governed by the engagement terms agreed with each client.
5. Third-party services on this website
To display our typefaces and icons, this website loads fonts from Google Fonts (fonts.googleapis.com and fonts.gstatic.com). When a page loads, your browser connects to Google's servers, which receive your IP address and browser details. Google's use of this data is described in the Google Privacy Policy.
6. Cookies and similar technologies
This website does not use advertising or tracking cookies. We store one small item in your browser's local storage, arowana-cookie-consent, which remembers the choice you made in our cookie notice so we don't ask again on every page.
You can change your choice at any time using the "Cookie settings" link at the bottom of every page, or by clearing your browser's site data. If we add analytics in future, we will only use it with your consent and will update this policy first.
7. How long we keep it
We keep enquiry details only for as long as we need them to respond to you and to manage any resulting proposal or client relationship. After that we delete them, unless the law requires us to keep them for longer. Server logs are kept for a short period by our hosting provider and then deleted automatically.
8. How we protect it
The website is served over an encrypted HTTPS connection, and access to enquiries and client records is limited to the people who need it to do their work. No method of transmission or storage is completely secure, but we take reasonable technical and organisational steps to protect your information.
9. Transfers outside Namibia
Some of our service providers, including Google and our email provider, may store or process information on servers outside Namibia. Where this happens we rely on providers that apply appropriate safeguards to protect it.
10. Your rights
You may ask us to:
- confirm whether we hold personal information about you and give you a copy of it;
- correct information that is inaccurate or incomplete;
- delete your information where we no longer have a reason to keep it;
- stop using your information for a particular purpose.
To make a request, email info@arowanass.com.na. We may need to confirm your identity before acting on it, and we will respond within a reasonable time.
11. Children
Our website and services are intended for organisations and their representatives. We do not knowingly collect personal information from children.
12. Changes to this policy
We may update this policy from time to time. The date at the top of this page shows when it last changed. Significant changes will be highlighted on this page.
